Privacy Policy

This Privacy Policy explains how the Quantum Core Institute ("QCI") handles personal information collected through quantumreadinesssummit.com, Summit registration, newsletter signup, sponsor and speaker inquiries, and on-site attendance.

Information we collect

You provide it directly

  • Registration: name, work email, organization, role, ticket tier, and, where applicable, eligibility information for the Government & Standards, Media, or Leadership tiers.
  • Payments: billing name and email. Card details are entered directly into our payment processor and never touch QCI servers.
  • Newsletter: email address and consent timestamp.
  • Sponsor / speaker inquiries: organization, contact name, email, and the details you submit in the form.
  • Waitlists (Leadership tier): contact information and role.

Collected automatically

  • Basic device and browser information, IP address, referral URL, and pages viewed.
  • Cookies and similar technologies — see the Cookie Disclosure.

On-site

  • Badge scans at sessions and sponsor showcase, if you opt in at check-in.
  • Photos, video, and audio captured during the Summit — see the Photography & Recording notice.

How we use it

  • Deliver the Summit: registration, seat allocation, badge, communications, and post-summit materials such as the Quantum Readiness Workbook.
  • Process payments, issue invoices, and prevent fraud.
  • Send transactional email (confirmations, program updates, calendar invites).
  • With consent, send newsletter and QCI research updates.
  • Improve the site, the program, and future editions.
  • Comply with legal obligations.

Legal bases (EU/UK residents)

  • Contract: registration, payment, and Summit delivery.
  • Consent: newsletter, non-essential cookies, and eligibility disclosures for reserved tiers.
  • Legitimate interests: operating and improving the Summit and defending our editorial charter.
  • Legal obligation: tax, accounting, and law-enforcement requests.

Who we share it with

  • Service providers acting on our behalf: our website hosting and database provider, our payment processor (for card checkout and invoicing), our transactional email provider, and analytics.
  • The venue for badge, catering, and accessibility accommodations.
  • Sponsors only if you opt in at their showcase (e.g., a badge scan).
  • Authorities where required by law.

We do not sell personal information. A list of subprocessors is available on request at privacy@quantumcoreinstitute.com.

Retention

We retain personal information for as long as needed to deliver the Summit and to meet legal, accounting, and reporting obligations. Newsletter records are kept until you unsubscribe. Payment records are retained per applicable tax law (typically 7 years).

Security

We use industry-standard controls including TLS in transit, access controls on our database, and least-privilege service credentials. No system is perfectly secure; report suspected security issues to security@quantumcoreinstitute.com.

International transfers

QCI is based in the United States. Personal information may be processed in the United States and other countries where our service providers operate. Where required, we rely on Standard Contractual Clauses or equivalent safeguards.

Your rights

Depending on where you live, you may have rights to access, correct, delete, port, or object to processing of your personal information. See the GDPR & CCPA disclosure for how to exercise those rights.

Children

The Summit is intended for professionals aged 18 or older. We do not knowingly collect information from children.
